Position Overview
We are seeking a highly motivated, resourceful, and adaptable Personal Assistant to support our Software Manager in a fast-paced, technology-driven environment.
This role requires strong initiative, excellent problem-solving skills, and the ability to work independently with minimal supervision. The ideal candidate must be comfortable with occasional odd hours, coordinating across multiple time zones, and supporting a manager who works in dynamic product and development cycles.

Key Responsibilities

1. Administrative & Executive Support
• Manage calendars, schedules, appointments, and reminders
• Coordinate meetings with internal teams, partners, and vendors
• Prepare summaries, documents, and follow-ups after key discussions
• Handle travel arrangements, bookings, and logistics
• Maintain confidentiality at all times

2. Operational Support
• Track ongoing projects, deadlines, and deliverables for the software team
• Organize files, documentation, and SOPs
• Assist with onboarding materials for new hires and contractors

3. Communication & Liaison
• Respond to emails and messages on behalf of the Software Manager when delegated
• Coordinate communication between technical and non-technical teams
• Draft basic messages, memos, and task instructions

4. Problem-Solving & Initiative
• Anticipate needs and proactively handle tasks
• Identify and resolve scheduling or workflow bottlenecks independently
• Conduct research and gather information as needed
• Troubleshoot minor administrative, technical, or organizational issues

5. AI & Tech Support (Preferred but Not Required)
• Basic familiarity with AI tools (ChatGPT, Gemini, etc.) for drafts or summaries
• Ability to organize documentation or SOPs using AI templates
• Comfortable learning new digital tools quickly

Requirements

Essential
• Strong organizational and time-management skills
• Excellent written and verbal communication abilities
• High self-motivation and discipline; able to work independently
• Quick learner with strong problem-solving instincts
• Willingness to work occasional odd hours due to cross-time-zone coordination
• Discreet, trustworthy, and capable of handling sensitive information

Preferred
• Experience supporting a tech lead, software manager, or executive
• Familiarity with software development environments or agile workflows
• Comfortable using productivity tools (Google Workspace, Slack, Notion, Trello, etc.)
• Experience in PA/EA roles in a startup or fast-moving organization

• Capable of managing multiple threads of work simultaneously
• Calm under pressure, especially during product launches or deadlines
