Assist the senior leaders, Head and Deputy Head, and the Financial and Operations Director in the activities inherent to the position and support the execution of the administrative steps requested, to achieve optimal development of the processes entrusted and to make viable the better functioning of the school.Collaborate with the Project Coordinator to ensure the organization and timely execution of tasks.
MAIN FUNCTIONS:
Reception:
Operate the central telephone line, which includes receiving, filtering, routing, and transmitting all telephone messages.
Welcoming, assisting, and/or guiding students, visitors, and suppliers, ensuring meeting rooms are ready, providing refreshments, and supporting basic logistics to provide a hospitable experience.
Receive payments from external users for the use of the cafeteria.
Receive student payments for various programs or bills such as the PAE program or payments for tuition, psychological appointments, tutoring, etc.
Assist people interested in learning about the school, being the first contact in case of calls or emails requesting information for the admissions process.
Perform secretarial and clerical support duties as required.
Receiving emails and responding to them according to the queries or otherwise redirecting for follow-up with the people in charge.
Administrative & Financial Support:
Assist the Head and Deputy Head in the different tasks that may be required. This task entails personalized assistance to the Head and Deputy Head regarding money requests, agenda management, expense settlement, and internal and external travel coordination.
Support the preparation of the Head and Deputy Head's annual budget.
Support with coordinating travel logistics for the Head, Deputy Head, and Board, such as lodging, insurance, transportation, tickets, required visas, etc.
Support the coordination of Head and Deputy Head agendas.
Help to collect and organize attendance and records for meetings and events.
Support the logistics and set up of meetings. (General services, IT needs, supplies, etc.)
Assist the Financial Operations Director in tasks including, but not limited to, answering calls, filing management, drafting letters, making reports, taking minutes at meetings as directed, attending, convening, and/or organizing all types of meetings.
Support the administration and review of the College's existing and new contracts.
Manage banking and legal procedures, ensure compliance with requirements, and request necessary documents.
Payable accounts:
Coordinate the payment through payment requests for all local and international transfers of the school related to the new campus project.
To settle representation expenses of the Head and Deputy Head and their payment requests.
As requested, support the Accounting, Safety, and IT areas regarding vendor payment requests.
Safety and Occupational Health:
Follow up on the schedule and support the execution of the Occupational Safety Plan, Emergency Plan, and Waste Disposal Plan activities.
Coordinate Safety Committee meetings and take Safety Committee minutes.
Receipt of reports issued by the Occupational Safety consulting firm.
REQUIREMENTS
Courses or technical diplomas in Business Administration, Finance and/or Accounting, Executive Secretarial, or related fields.
2 + years of experience in similar accounting, financial, logistics, and administrative positions.
